Once you determine how you are shipping, here are some tips and next steps for shipping:
- Estimate what you will be shipping to the show. Review and submit the Material Handling form to Tricord. This is an estimate they require in advance; you will be billed for your actual weighted items upon arrival.
- If you are sending products to the caterer for sample food preparation, make sure to package and label the catering product separately so it can go directly to the venue's catering receiving dock. DO NOT mix it with products that you need in your booth - additional labor charges will apply.
- Use appropriate shipping labels for the type of product being shipped and any necessary storage.
- Use your own shipping provider or have Tricord ship for you and receive discounted rates.
- Provide your shipping carrier with the Delivery Map so they know exactly where your shipment needs to go. There are different drop-off locations at the conference center depending on your booth location.
- Do not forget to plan for your outbound shipment as well. Complete the Outbound Shipping Form to receive outbound bills of lading at the close of the show. The expo ends on Friday; your outbound shipment will need to leave by Saturday.
Refrigerated Storage
If you need assistance with pre-show storage of perishable products or sourcing your product locally, please make plans directly with our recommended Produce Supplier.
On-site refrigerated storage is available at no charge, compliments of Boskovich Farms, Inc. Reservation is not required. Review times for Perishable Product deliveries in advance.
Product will be unloaded onsite, stored in cold storage trailers, and delivered to the exhibitor's booth on Friday, unless requested otherwise in advance.
Products left in the refrigerated trailer after 3:00 p.m. on Friday will be donated to the food bank unless alternate arrangements are made at the exhibitor service desk.
Shipping Labels
Label every box in your shipment individually. Sometimes pallets are broken down in the shipping or material handling process. If this happens, your boxes will still make it to the correct booth if you have all boxes labeled properly.
- Booth Material Shipping Labels
- Advance Shipping Label
Booth materials can be received in advance between (June 18 - July 18). No perishable product. Booth materials will automatically be moved from the advance warehouse to your booth before the exhibitor move-in date. - Direct to Show Label (non-perishable)
Use this label when shipping booth materials or products that do not require cold storage going directly to the expo between July 24-26.
- Advance Shipping Label
- Cold Storage Shipping Label
DO NOT send products directly to the venues. They do not have sufficient storage space to guarantee safe handling of your product. Use this label to ship perishable products that need to go directly into cold storage. Products should arrive July 25. Stored items will automatically be delivered Friday, July 26 morning, unless you notify the exhibitor services desk otherwise.
DO NOT send products for sampling that are meant for the caterer using this label.
- Catering Shipping Labels
If the catering company is preparing samples for your booth, they will send you a specific exhibitor catering label to use once your order has been placed.- Booths in Sierra Ballrooms: Monterey Marriott - Kimberly Barrett
- Booths in DeAnza Ballroom: Portola Hotel – Megan Strandburg
DO NOT send products to be used by the caterer with other fresh products intended for your booth. Failure to separate the product will result in misdirected, misplaced or lost product. Neither IFPA (International Fresh Produce Association) show management, Tricord, nor the catering companies will be responsible for improperly labeled, shipped or misdirected product.
